Terms and Conditions for RV Rental

Effective Date: January 1 2025

Welcome to Glacier Campers, your trusted RV rental provider. By renting a Campervan, Truck camper or RV from us, you agree to the following terms and conditions. Please read these terms carefully before completing your booking.

1. Reservation and Payment

  • Booking: To reserve an RV, a booking must be made through our website, by phone, or in person. You will receive a confirmation email once the booking has been completed.

  • Deposit: A 25% deposit is required to secure the booking. The balance is due at least 7 days before the rental start date.

  • Payment Methods: We accept credit card, debit card, etransfer through canadian banks or online bank transfer.

  • Late Payment: If the rental balance is not paid on time, the booking may be canceled, and the deposit may be forfeited.

2. Rental Period

  • Rental Duration: The minimum rental period is 3 nights. Rentals are charged on a per night basis.

  • Pick-Up and Drop-Off: The RV must be picked up and returned at the agreed-upon times and locations. Late returns may incur additional fees.

  • Early Return: There are no refunds for early returns.

3. Driver Requirements

  • Age Requirement: The primary driver must be at least 25 years old on the first day of the reservation. There is no insurance available for under 25s.

  • License: All drivers must hold a valid driver’s license in their home country.

  • Additional Drivers: Additional drivers may be added at no extra cost. All additional drivers must meet the same requirements as the primary driver.

4. Rental Charges and Fees

  • Rental Rates: Rates are based on the rental duration, type of RV, and seasonality. Rates are outlined on our website or provided at the time of booking.

  • Mileage Fees: Unlimited kms are allowed on rentals.

  • Fuel: The RV must be returned with the same fuel level as it was rented. If the fuel is not at the required level, a refueling charge will apply.

  • Cleaning Fee: A cleaning fee is apart of the booking process if the RV is returned excessively dirty, including if there is evidence of smoking or pets inside. Significant charges apply. Smoking of any kind is a minimum $500 penalty.

5. Insurance and Liability

  • Insurance Coverage: Our RVs come with insurance package that can be selected by the renter. The insurance is provided by Outdoorsy and in the event of any damage/accidents Outdoorsy will handle all insurance related discussions and costs.

  • Security Deposit: A refundable security deposit is required at the time of rental. This deposit will be refunded upon the return of the RV in good condition, with no damage, excessive wear, or unapproved modifications. Your security deposit may ‘renew’ every 7 days especially for international banks. This is not a double charge, there is a 7 day limit for holding a pre authorization, so every 7 days the security deposit will release and recharge your credit card.

  • Damage: You are responsible for any damages to the RV during the rental period, including but not limited to collision damage, tire damage, and vandalism. This includes any damage to the interior, such as upholstery, appliances, and fixtures.

6. Usage Guidelines

  • Prohibited Uses: The RV is not to be used for:

    • Off-roading or driving on unpaved roads.

    • Towing any vehicles or trailers.

    • Participating in any illegal activities.

    • Smoking inside the RV or carrying pets (unless pet-friendly RVs are provided).

    • Hosting parties or gatherings that exceed the RV’s seating capacity.

  • Maintenance and Breakdowns: You are responsible for basic maintenance such as checking fluid levels and tire pressure during your rental period. In the event of a mechanical breakdown, you must contact us immediately. We will handle necessary repairs, but you may be responsible for the costs if the damage is caused by negligence.

7. Cancellation and Changes

  • Cancellation Policy:

    • Cancellations made 7 days or more before the rental start date will receive a full refund minus the deposit. You can reuse your deposit at any time.

    • Cancellations made less than 7 days before the rental start date will result in the forfeiture of the deposit.

  • Booking Modifications: Changes to booking dates or RV types may be made depending on availability and may incur additional charges.

8. Safety and Compliance

  • Pre-Rental Inspection: A pre-rental inspection will be conducted with the renter to ensure that the renter is comfortable operating all aspects of the vehicle and aware of anything unique to their rental vehicle.

  • Roadside Assistance: We provide roadside assistance during your rental period through coach-net. The renter will be provided with the contact details before departure.

  • Compliance with Local Laws: Renters are required to comply with all applicable local, state, and federal laws, including driving laws and regulations for RV use.

9. Cancellation by Company

We reserve the right to cancel a rental due to unforeseen circumstances, including but not limited to mechanical failure, safety concerns, or force majeure events (e.g., natural disasters). In the event of cancellation by us, you will receive a full refund or an option to reschedule based on availability.

10. Privacy and Data Protection

We respect your privacy. Any personal information collected during the rental process will be used solely for the purposes of processing your rental, confirming bookings, and providing customer service. Your information will not be shared with third parties without your consent, except as required by law.

11. Indemnification

You agree to indemnify and hold harmless Glacier Campers Ltd. from any claims, damages, losses, or expenses (including legal fees) arising from your use of the RV during the rental period, including but not limited to any violations of these terms and conditions, negligence, or accidents.

12. Limitation of Liability

Glacier Campers Ltd. will not be liable for any indirect, incidental, or consequential damages that occur during the rental period, including loss of personal property, injury, or accidents.

13. Governing Law

These terms and conditions are governed by the laws of Canada Any disputes arising from this agreement shall be resolved in the courts of Alberta, Canada.

14. Amendments

We reserve the right to update or modify these terms and conditions at any time. Any changes will be posted on our website and will apply to all rentals made after the posting date.
